Understanding the Difference Between a Venue Coordinator, Wedding Coordinator, and Wedding Planner

Planning a wedding is exciting, but it can be confusing. One of the most common questions we hear is, “Who’s actually in charge on the wedding day?” You may see terms like venue coordinator, wedding coordinator, and wedding planner. While they sound similar, each plays a very different role.

At The Barn at Cedar Grove, we want you to feel confident about what’s included in your package. Whether you’re planning it all yourself or want help from start to finish, here’s what you need to know.

What Is a Venue Coordinator?

A venue coordinator is someone who works for the venue. Their job is to make sure the property is open, safe, and ready when you arrive. At The Barn at Cedar Grove, our venue team handles things like:

  • Opening the barn and preparing the site
  • Making sure restrooms are stocked and the grounds are clean
  • Setting up tables and chairs
  • Answering questions related to the venue layout or amenities

They are not responsible for keeping your day on schedule or managing your vendors. Their focus is on the venue itself, not the flow of your wedding day.

What Is a Wedding Coordinator?

A wedding coordinator focuses on the logistics of your wedding day. This is the person who manages the timeline, oversees vendor arrivals, and ensures everything runs smoothly.

At The Barn at Cedar Grove, we offer day-of coordination as an add-on or as part of our all-inclusive package. Our coordination team, Sandy and Missy will:

  • Finalize and follow your wedding day timeline
  • Coordinate the rehearsal
  • Oversee vendor setup and decor
  • Cue the wedding party and key moments
  • Troubleshoot anything that comes up

The add-on option is perfect for couples who plan the details themselves but want professional help managing the day.

What Is a Wedding Planner?

A wedding planner helps guide you through the entire planning process, not just the wedding day. At The Barn at Cedar Grove, full planning is included with our all-inclusive package and that means that we select and pay each vendor for you! (Planners elsewhere will likely offer vendor referrals and contract guidance.)

Our planning team provides:

  • Budget tracking and checklist support
  • Design and layout help
  • Full communication with vendors
  • Complete wedding day management

This is ideal for couples who want expert help from start to finish. It’s especially helpful if you're planning from out of town or simply want to enjoy the process without the stress.

Why It Matters

Not all venues are transparent about what’s included. Some say they offer a “coordinator,” but that might just be someone making sure the lights are on and the trash is taken out.

  • Venue Rental Only (BYO - Build Your Own): You provide your own coordinator or manage the day yourself
  • Add-On Coordination: Our team handles timeline, setup, rehearsal, and the day-of flow
  • All-Inclusive Package: You get full planning, full coordination, and a deeply experienced team to guide you start to finish
